Privacy Policy
This policy describes the information Magnus processes to provide secure academic study, document, classroom, and AI-assisted learning workflows.
Effective date: June 23, 2026
This page is a working product policy template for Magnus. It should be reviewed by the school, institution, or legal owner before production use.
1. Overview
This Privacy Policy explains how Magnus handles information when students, teachers, administrators, and approved institutional users access the academic study workspace.
Your institution may provide additional privacy notices or data-processing terms. If your institution provides Magnus access, it may control account eligibility, course rosters, instructional records, and administrative use of the service.
2. Information we process
Magnus may process account information such as name, email address, role, institution, authentication identifiers, account status, and regional preferences.
Magnus may process learning information such as enrolled courses, uploaded PDFs, document metadata, notes, annotations, messages, quiz activity, flashcards, generated questions, AI prompts, AI responses, study progress, and teacher or administrator actions.
Magnus may process technical information such as device, browser, IP address, session cookies, request logs, error logs, and security events needed to operate, secure, debug, and improve the service.
3. How information is used
Magnus uses information to authenticate users, enforce access controls, show course and document content, provide AI-assisted study tools, support classroom workflows, maintain security, troubleshoot issues, and improve reliability.
Magnus may use submitted documents, prompts, and learning activity to generate summaries, explanations, translations, questions, flashcards, quizzes, notes, citations, and other study outputs requested through the service.
4. AI and service providers
Magnus may send relevant prompts, document excerpts, metadata, and user instructions to AI, database, storage, hosting, logging, analytics, or infrastructure providers when needed to provide the requested feature.
Provider handling depends on the deployment configuration selected by the institution or service owner. Institutions should review provider contracts, retention settings, and data-processing terms before production use.
5. Sharing and disclosure
Information may be visible to users who need it for the academic workflow, such as teachers viewing class activity, administrators managing access, or students viewing shared course materials.
Magnus may disclose information to service providers, institutional administrators, legal or compliance authorities, or security teams when necessary to operate the service, comply with law, enforce policies, or protect users and systems.
6. Cookies and security
Magnus uses cookies and similar session technologies to keep users signed in, maintain secure sessions, and protect authenticated routes and APIs.
Magnus uses reasonable administrative, technical, and organizational safeguards for the service. No system can guarantee absolute security, so users should protect credentials and report suspected unauthorized access promptly.
7. Retention and deletion
Information is retained as long as needed to provide Magnus, support institutional records, comply with legal obligations, resolve disputes, maintain security, or enforce agreements.
Deletion, export, or correction requests may need to be handled through the institution that provides the account, especially for course records, student data, or administrator-managed content.
8. Student and institutional data
Magnus is designed for academic use, including school and university workflows. Institutions should configure access, notices, consent, retention, and data-sharing practices to match their legal and policy obligations.
Users should not submit highly sensitive personal data unless it is necessary, authorized, and appropriate for the relevant academic workflow.
9. Updates and contact
This Privacy Policy may be updated as Magnus features, providers, or institutional requirements change. The effective date shows when this version was last updated.
For privacy questions, data requests, or account concerns, contact your Magnus administrator or the institution that provides your account.
